A 24-48 business hour turnaround time is required for processing key requests. Please read this section in full to ensure there is no delay in receiving the keys requested.
Please email your requests to Christina Zhou, Assistant to Head (headasst@phas.ubc.ca). You do not need to come in person with your student/visitor, email is sufficient and will serve as authorization.
Your email must include the following information:
(1) Name and Title: (e.g: visitor, Post doc, Research Asst., etc.)
(2) For students, please provide a student number and confirm whether they are undergrad or co-op student. For Grads and TAs, please contact the Graduate Coordinator, directly.
(3) Indicate all areas/rooms requiring access (include room number)
(4) How long is the key needed for? (e.g. temporary, permanent, short term, long term, or any additional information would be very helpful.
Please Note: We use an on-line key request system. The key desk approves requests within a 24 to 48 hour time frame following our inter office request if not sooner depending on volume. An e-mail notification from Access Control (key desk) will be sent to the recipient when the key(s) are ready for pickup. Employees, students and visitors must ensure they bring picture ID and have their employee number available (if applicable) along with their email address.
After-hour access - A Building Key is given if there is a need for the individual to be here after hours and weekends. Please state the reason on your email request.
Access to labs with chemicals - If a key is required for a Lab that has chemicals, please complete the Safety Information Checklist form, before seeing Bridget P. A Lab Key will not be issued unless this form is completely filled out and signed by the Supervisor of the Lab. Deposits - Some high security keys have departmental deposits. In addition to this, the key desk will charge requestors a one-time deposit of $20 to open an account.
The intent of the key deposit to ensure user accepts responsibility for the use and to return the key back to the University Keys are assigned to an individual with the intent that when access is not longer required and/or assigned, it ensures the individual returns the key and is refunded their deposit.
It also ensures the key after issuance is solely for the person it was issued to. The policy revolves around: Privilege, Access, Responsibility, University Property
